SUMMARY 

The director of programming is responsible for the strategic planning, execution, and management of venue contracts and speakers. This includes scheduling, venue negotiating and contracting, agenda creation, speaker coordination, and relationship management with venues and speakers throughout the state. Key responsibilities include developing programming timelines, facilitating the call for proposal process, creating, and maintaining agenda documents, confirming speakers, and providing on-site support during events and post-event follow-up. The ideal candidate will possess excellent organization, communication, and relationship-building skills to cultivate and maintain strong partnerships with venues and speakers. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Strategic scheduling of events and seminars. 

Negotiating and contracting venues for events and seminars.

Working closely with the events budget to ensure contract terms align with event budgets. 

Developing and maintaining relationships with venues throughout the state. 

Creating programming timelines for events and seminars. 

Managing the call for proposals process and database (WizeHive).

Controlling project management timelines with the use of software (Wrike).

Owning the agenda development process including creating and maintaining agenda documents throughout the planning period.

Collaborating effectively with agenda committees. 

Overseeing the process of confirming and coordinating speakers including tracking feedback and responses as well as post-event follow-up.

Providing on-site support at events and seminars.

Cultivating and maintaining relationships with current and potential speakers. 

Overseeing additional projects within the membership and business services division.

SUPERVISORY RESPONSIBILITIES 

This position has no day-to-day supervisory responsibilities but works closely with the entire Membership and Business Services department. 

QUALIFICATIONS  

To perform this job successfully, an employee must be able to perform each essential duty satisfactorily.

EDUCATION AND/OR EXPERIENCE 

The applicant must be a college graduate with at least five years of relevant experience or possess eight years of experience managing and directing systems and processes. Experience with creating detailed agendas, collaborating with committees, and strategic contracting is essential. 

LANGUAGE SKILLS: Ability to read, analyze, and interpret general business periodicals and professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from managers, clients, customers, and the general public.

MATHEMATICAL SKILLS 

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. The ability to apply concepts of basic algebra and geometry and a proficient understanding of profit and loss statements.

REASONING ABILITY 

Ability to solve practical problems and deal with variables in situations with limited standardization. Ability to interpret various instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS

Employee must have a valid driver’s license.

OTHER SKILLS AND ABILITIES

Employee must have strong computer and typing skills, including the use of and functional knowledge of several different software programs such as Microsoft Word, Outlook, Excel, PowerPoint, etc. 

PHYSICAL DEMANDS

The physical demands of this position require the ability to lift a maximum of 50 lbs. and be able to sit, stand, and/or walk for long periods. On occasion, must be able to workdays of up to 16 hours.
